Minerva Circulation Roundtable Attendance Policy

Minerva Circulation Roundtable meetings are held quarterly. It is preferred that all meetings are either attended or viewed online by a circulation representative from every Minerva library to ensure that all libraries remain well-informed regarding circulation issues and solutions, and to ensure that they are in compliance with the rules and standards set by the Minerva Circulation Standards Committee and Executive Board. It is required that no fewer than three of the four meetings in a calendar year are attended or viewed.

It is preferred that libraries have a circulation representative in attendance at every Circulation Roundtable meeting, either at the primary location or at one of the remote sites. However, libraries unable to have a representative in attendance can view the Roundtable meeting video recording online. The Circulation Standards Committee will track meeting attendance and viewings.

If a library neither attends nor views two meetings in a row, the chair will send an e-mail to the library director reminding them of the attendance policy and that missed meetings are available through video streaming online. The Executive Board Chair will also receive a copy of this e-mail.

If a third meeting is missed, the Executive Board Chair will be informed and will be asked to contact the library director personally to urge compliance and forewarn them once again of the repercussions of a fourth missed meeting.

If a fourth meeting is missed, which is to say an entire calendar year of meetings, the ability of that library and, by extension, its patrons to place requests through the OPAC will be disabled. The Circulation Standards Committee Chair will inform Maine InfoNet staff and the Executive Board if this level of non-compliance is reached.

To regain the ability to place requests through the OPAC, a library circulation representative will need to view no fewer than the last three missed Circulation Roundtable meetings and resume attendance or viewing of subsequent meetings.

Before the video begins to play a survey will ask for the name and library of the viewer.

Brief outline of the policy

  1. Attend (preferred) or view recording online for no fewer than three out of four Roundtable meetings in a calendar year
  2. Committee will keep track of attendance
  3. If two meetings are missed, an e-mail will be sent to the library director
  4. If a third meeting is missed, the Executive Board will be informed and asked to contact the library
  5. If a fourth meeting is missed, OPAC requesting privileges will be disabled
  6. To regain the ability to place requests, a library circulation representative will need to view the last three missed meetings and resume attendance of meetings
