On Order DVDs

The Minerva Executive Board approved of the following policy in January 2018.

Minerva catalogers will not add theatrical DVDs on order records to Sierra. Catalogers will add movie DVD bibliographic records once they have the item in hand. Unlike print books where libraries purchase a single format, theatrical movies have multiple formats (i.e., single DVD, single Blu-Ray, multiple DVD with special features, etc.) that are released simultaneously. So it turns out not all on-order records have the same benefit for patrons. In this case even a perfectly cataloged on-order movie record for a theatrical release will create holds problems. Once an on-order record is available in the OPAC patrons place their holds on this single on-order record. Then when another format is added, it will receive fewer holds, as everyone has placed holds on the first record. So unlike a single on-order record for print material, where holds will be filled from a single bib record once copies start to come in, with theatrical release movies holds would be coming from multiple bib records instead of the single format/version that had the on-order record.
