Importing Records from Z39.50

Checklist

  1. Import a new bib record only after searching the Minerva catalog by title first, then author, then ISBN, without finding a match.
  2. Double click “Location” fixed field and enter your library’s 3 letter code.  DO NOT skip this step.  Click Ok.
  3. Assign a material type if the item is not regular print material (for large print, audiovisual, graphic novels)
  4. Correct initials and input library if your library has a unique code.  If your library doesn’t have one, use “-“
  5. Examine 001 and 003, verify OCLC number if needed
  6. If the 001 is the OCLC number, retain this field
  7. If the 001 is NOT the OCLC number, delete this field
  8. Check ISBN in 020.  ONLY keep the one that appears on your item; remove any others that do not apply.
  9. Remove 09x call number fields (090, 092, 099).  If you wish to retain this information in the record, change the 09x to 082, save, then change the Marc tag code from “c” to “y”, then save again.  Be sure to do it in this order.  LC call numbers go in 050 field, Dewey in 082.
  10. Verify 100 field main entry name authority
  11. Rremove 263 field (expected publication date) if the item is in hand
  12. Review 300 and supply missing information
  13. If item is part of a series, examine 4xx field.  Should be 490 0# or 490 1#.  440 fields are now obsolete.
  14. Examine 5xx notes.  For AV bibs, use 500 for “compact discs” or 538 for other media types.  This should be first 5xx field in the record. (right click, move field to top of group).  If the bib has a 504 field for bibliography, edit to include relevant page numbers.)
  15. Verify 7xx added entry authorities
  16. Check 8xx series entry:  use 800 for author series, 830 for title series.  If the bib has a series statement that is traced, it should also have a corresponding 8xx field.
  17. 856 fields: change subfield |3 to |z (alters display)
  18. Check 9xx fields.  Delete all 9xx fields and add a 929 field with your library’s initials if your library does not have “input library” 3 letter code in the fixed fields at the top of the record.  After the record has been returned from authority processing it will have a 902 and 907 field that is specific to the Minerva catalog.  Do not remove these fields.

Note:  Minerva policy requires that effective January 1, 2014, all new bibliographical records added to the catalog, including those imported from Z39.50, must be compliant with RDA cataloging rules.  Make certain that new records include all required RDA elements and fields as defined by the official policy.
