Meeting Minutes

Call to Order –

Shelly Davis called the meeting to order at 10:15 am.

Welcome and Introduction –

Shelly welcomed attendees.  The minutes of the November 28, 2012 Users’ Council had been distributed via email.  Steve Norman made a motion to accept the minutes as written and Judy Frost seconded.  A vote was taken and the minutes were approved as written (http://maine.gov/infonet/minerva/governance/uc/minusersl11-28-2012.htm).

Old Business

  • Library Anywhere – James Jackson Sanborn and Albie Dunn reported on this software which enables users to access Minerva on a mobile device. Albie gave a brief demonstration showing the functionality.  In the next few days, he will post the link to Library Anywhere on Minerva.
  • State System Planning Committee – James Jackson Sanborn, Shelly Davis and Alisia Revitt are on this committee.  James distributed a copy of the draft vision statement for
  • Maine Statewide Library Systems (http://www.maine.gov/infonet/minerva/governance/uc/draftMaineStatewideSystemVision.pdf) He invited Minerva members to send him comments about the document.  The next step for the planning committee is a meeting with III at ALA in Chicago (Joyce Rumery and David Nutty will attend also).  We are currently 6 months into a 3 year contract with III.

New Business

  • Website redesign – James Jackson Sanborn reported that the new Maine InfoNet website (maineinfonet.org) will launch next week.  The maintenance of some sections of the site will be distributed so that Minerva officers, committee chairs, etc. will be able to post minutes, reports, and other documents to the website
  • Minerva OPAC upgrade – Albie Dunn demonstrated what this looked like.  Keyword will be the new default search option.  The upgrade should take place sometime this summer.
  • Users’ Council survey results – Shelly Davis had provided a link to the survey results (https://www.maineinfonet.org/wp-content/uploads/2013/06/SurveyResults_MinervaUsersCouncilMeetings.pdf) with the agenda.  She briefly reviewed the results of the survey which had a good response rate (64%).

Reports

  • Minerva Executive Board (Shelly Davis) – Shelly reported on Board changes.  Leaving the board are Betsy Pohl and  Lisa Auriemma.  New members are Karen Valley and Amber Tatnall.  Steve Norman was re-elected.
  • Maine InfoNet Director (James Jackson Sanborn) – James reported that technical support for the Download Library has been changed to Front-Line Technical Support, Overdrive’s dedicated support. Thus, requests can go directly to them without being sent to James or Albie (Minerva support) first.  James was contacted by IndieFlix, a “Netflix” for independent films.  He asked for feedback to help him decide whether to pursue this for the system. James noted changes on the Maine InfoNet board.  Rich Boulet has left the board and has been replaced by Brook Minner.  David Nutty has stepped down as chair and Joyce Rumery has taken on that position.
  • Maine InfoNet Representative (Judy Frost) – Judy noted the recent one day retreat which she attended.  Maine InfoNet will continue to support two summits a year.  The library directors’ meeting will be a standing summit, while the second summit will change topics.  Judy emphasized the importance of the RDA workshop scheduled for August 8 at the University of Maine in Orono.  She also encouraged people to send her ideas for future summits.
  • Minerva Technical (Alisia Revitt) – Alisia presented the Download Library (Overdrive) statistics (https://docs.google.com/a/maineinfonet.org/presentation/d/1JFZ6k3NYUhG21DgbNNS9s_xVG53hUzfJNK_49dw1C2Q/pub#slide=id.p)  Ebooks are growing much more rapidly than audiobooks.  She also provided a link to the 2012 ILL (Borrowing) statistics (http://www.maine.gov/infonet/minerva/governance/uc/owninghomeformusers20130619.pdf)  .  These are for the calendar year 2012.  Finally, she talked about RDA and its significance for Minerva and cataloging in general.  As of April 1, the Library of Congress is cataloging exclusively using RDA. Minerva load profiles have been changed to include new fields and III has done a system update to make all the new MARC fields valid.  RDA training for all Minerva catalogers is scheduled for August 8.
  • Finance and Budget (Gail Roy) – Gail Roy attended remotely. She made the following reports available: the approved budget for FY14 (https://www.maineinfonet.org/wp-content/uploads/2013/06/mBudgetFY14.pdf) and the Fiscal Report for June 2013.  (https://www.maineinfonet.org/wp-content/uploads/2013/06/mBudgetReport06-20131.pdf) These reports are posted on the new website.

Committee Reports

  • Circulation (Cyndi Burne) – No report.
  • Cataloging (Katherine Morgan) – A written report was posted to the website.  (http://www.maine.gov/infonet/minerva/governance/uc/mcat20130619.pdf).  Katherine and Shelly Davis had a very productive discussion with the vendor for the RDA Toolkit (an online RDA resource).  The result was that Minerva members have access to the Toolkit for a month, Cataloging Standards committee members have access for 60 days, and the vendor made a better offer for Consortial access.  This offer will be presented to the MINERVA Executive Board at their meeting on July 11.
  • Membership (Steve Norman and James Jackson Sanborn) – Steve Norman reported that the Membership Committee is chaired by Pam Turner and includes Pam, Susan Winch, James Jackson Sanborn and himself.  The committee is developing a matrix to rate libraries applying for membership, also a list of costs and other commitments. They will bring these documents to the Executive Board in July for approval and hope to be able to select two libraries to join in the fall of 2013.
