Brief outline of Roundtable Attendance Policy
- Attend three meetings live (preference).
- Alternative is to view three recorded meetings.
- The Standards Committee keeps track of attendance through presence at Roundtables Zoom meetings and/or requests for meeting recordings. Joining a live meeting more than ½ hour late will result in the need to request to view the recording for attendance purposes.
- If a library hasn’t attended/viewed the required meetings by January of the following calendar year the library and chair of the Minerva Executive Board will be notified that permissions to import and/or create new records will be turned off.
- Once the missed Roundtables have been viewed and a new Roundtable attended, permissions to create and import bib records will be restored.
A cataloger representative from a Minerva library needs to attend three Roundtable meetings per year or view the recordings of three meetings. This is to ensure that the cataloging staff are well informed about cataloging issues and updated solutions to keep bib records in the OPAC clean, and be certain bibs are in compliance with rules established by RDA and standards set by Minerva. Catalogers unable to attend can view missed Roundtable meetings. The cataloging committee will keep track of attendance and requests for viewing Roundtables to determine which libraries are in compliance with the attendance policy.
A library has until January of the following calendar year to attend or view three meetings before any consequences are imposed. For 2025, for example, a library needs to attend or view three meetings before the end of January 2026.
If a library does not fulfill the meeting requirements then the library loses the ability to create and import bib records. The cataloging committee will inform the chair of the Minerva Executive Board and will request that Maine InfoNet remove these cataloging permissions until the library attends a live meeting after having viewed the missed meetings from the previous year. Once this requirement has been met then permissions will be turned back on.
