Collection Analysis System

The group was joined by Kathryn Harnish from OCLC, who answered questions about the development of their forthcoming analytics product. The product has been approved and resourced; the first functions/reports will focus on serials; the hope is to have monographs incorporated by mid-2012.  A third phase of the product will allow for ad hoc queries, rather than pre-packaged reports.

It was decided that we will purchase a group subscription to the existing WorldCat Collection Analysis.

Reclamation

    a. E-resources without OCLC numbers – Overview for Project Team Meeting

There are two types of electronic resources lacking OCLC numbers that the reclamation group is discussing, and needs some guidance in light of the goals of the project.

1)   Large stable collection sets – e.g. EEBO and ECCO.  Most of these can be included if we wish, though there was some question as to if it was worthwhile to send large batches (over 300,000 records in some cases) for known sets.  The alternative might be to do these via a spreadsheet across schools of who has what sets.

2)  Serials Solutions materials.  Our goal of sending only a ‘stable’ subset is a bit problematic. Orono already uses OCLC’s e-serials holding service, so ALL of their SS material is marked in Worldcat already. I’m polling the rest of the U Maine schools to see if others use it (USM does not.). For the other schools, I believe the choices are as follows:

— pursue OCLC’s e-serials holdings to mark holdings for all SS material

— pursue the OCLC Knowledge Base service (which e-serials holdings is turning into) and try to add only ‘stable’ sets, which looks possible

— do not include SS material at this time

In thinking about collection analysis, what makes the most sense, considering that at least one school has all their holdings marked?   (The above OCLC services are free, so we don’t need to be concerned about including them in the one time reclamation in terms of cost. )

After consultation with OCLC (following the meeting), it was discovered that the Knowledge Base would include large monographic sets beginning in December. Sara will explore the Knowledge Base option, including possible impact on ILL. At this time it appears as though records for electronic resources will not need to be exported in the reclamation process.

b. Comparison of detailed holdings of print periodicals

It was decided that this is an issue for the collection managers to discuss at their upcoming meeting. (Specifically, included in the discussion of criteria for retention decisions.)

Updates:

    1. Print-on-Demand

Valerie has been researching Print-on-Demand services, and has sent a file to UMaine Printing Services to test their printing operation. A more in-depth discussion of POD will be on the agenda for the next Project Team meeting.

    1. HathiTrust membership

Valerie is working on a ‘fact sheet’ of HathiTrust membership options and criteria, in order to present a brief summary to partners re: what is involved, what comes with membership, etc. This will be distributed prior to the Collection Management meeting and the next Directors’ Council meeting.

    1. Website development

 The team approved the site interface, and briefly discussed Twitter usernames.
