Committed To Retain

Category of material which have met the MSCS retention criteria. MSCS partner libraries commit to retain the material under the conditions of the Maine Shared Collections Cooperative Memorandum of Understanding.

Item/copy

Actual physical object on the shelf. See Title-holding and Title-set.

Local Protected category

Local protection rules are for categories of materials which MSCS libraries want to protect because they relate to subjects/authors of particular interest in Maine. Titles in this category will be retained regardless of usage:

Rule 1: General

The keyword ‘Maine’ will be searched in title, author, series, and all subject fields.

Rule 2: Published in Maine

This will be determined by searching all bib records for one or both of these elements:

MARC 008/15-17     meu   (indicates Maine as place of publication

MARC 260|a and 260|b – flag titles with these strings:

Rule 3:  Maine Author or Artists

This will be determined in one of these ways:

Location code meaut in a Maine State Library record

Authors, American—Maine in a subject field

Artists, American—Maine in a subject field

Rule 4: Maine Local History

This will be flagged when the title is classed in:

F 16-30 (Maine History)

The following keywords/phrases will be searched in the title, author, series, and subject heading fields:

Needs Further Examination

Category of materials which have not meet MSCS retention criteria, but need further examination by MSCS libraries before a decision not to commit can be made. See Committed To Retain.

OCLC Shared Print Symbol

Separate OCLC Institution Symbol used to identify print archived titles.

Shared Print

A collaborative effort to coordinate the long-term retention of print materials (including both monographs and journals). It is characterized by an explicit commitment to retain materials for a specific period of time.

Sustainable Collection Services

The vendor MSCS have contracted with to deliver collections analysis services (http://sustainablecollections.com/).

Title-Holding

The combined holdings (which means multiple copies/items at some libraries) of one library of a particular ‘Title set’. See Item/copy and Title-set.

Title-Set

Specific edition of a monograph for example, California in the New Millennium: The Changing Social and Political Landscape. Publication Year 2000  (Paperback version 2002). See Item/copy and Title-holding.

Government Document

For purposes of the project, Government Documents were considered out of scope and where identified by SCS by the following criteria:

074 – GPO item number not null
086 – Gov document classification number not null
040 – cataloguing source had GPO

Serials

For purposes of list creation for review of serials, the following criteria were used:

Leader position 07 (bib level) = s (serial)
Leader position 06 (type of record) = a (language material)
Not electronic (usually determined by location code)
Not suppressed

Records were further evaluated before loading into the Serials database to exclude Microforms (based on location) and Government Documents (based on position 21 of the 008 – approx 15% of series titles)
