Summary of Technical Services Subcommittee Meeting, May 8, 2013

1. OCLC Shared Print symbols
Discussed status of shared print symbol use. Plan to move forward using both symbols on single records. While this is less than ideal and has implications for Collection Analysis, it does solve the issue of needing to pay an annual ILL fee for these symbols (which do not have policies distinct from the current symbol.)

Noted that some institutions saw both “Bowdoin College” and “Bowdoin College Share Collections” in the public Worldcat web interface, while others saw just the Bowdoin College. OCLC is working on resolving this. Sara is requesting the remaining shared print symbols.

The shared print symbol will be added to the records as part of the LHR load.

Also, USM asked if they should have one or multiple symbols, since they have multiple OCLC symbols (PGP, PGN, PG8, PG2). OCLC responded that in our case we should think of the symbol as a ‘status’ rather than a location, and a single symbol should suffice.

2. Loading of retention information into OCLC (LHRs)
-Do you have LHRs on any existing monographs (not monographic series)? No. There may be some on monographic series, but not straight monographs.

LHRs will be added via LHR BatchLoad Services. This is the order form.  Use your Shared Print symbol login, and make sure to mark as a recurring project.  There is a $355 onetime fee for this service.

OCLC is working on the best practice for us for submitting the Batchload Service requests, since all of our data will be in the same incoming format. We should know a bit more in the next week, so won’t be ordering this service quite yet.

3. Loading of retention information into catalogs (barcode lists)
-Inventory Control (Bates Instructions) or possibly Use Counts (iuse3/copy use) in institutions doesn’t own Inventory Control module.

CBB and URSUS do have the inventory control module and can use the method outlined in Sharon’s instructions to transfer a list of barcodes into an item list. Sara will check with PPL.

-Can use Global Update to include LHRs Marc Fields – include 561, 583 and 852. These should be ‘y’ tagged fields placed in the item records.

4. Display of retention information in catalogs
MaineCat – will use worldcat api screen scrape (instead of using local item 856)
-Ursus – possibly like this – webpub.def with javascript display of y fields OR Sharon S. suggested using the opac message field – see example here where ‘vault’ is from an opac msg field: http://ladd.bates.edu/record=b1018365~S4 . This decision can be made at the institution level, as long as the retention commitment is displayed in some format.

5. Hathi records (just FYI at this point…)
-Most libraries will include Hathi in the discovery layer rather than loading records. We are testing loading the records into MaineCat for statewide access.
