Meeting Notes for Sept 24, 2012
Present: Sarah Campbell , Sharon Fitzgerald, Venice Bayrd, Karl Fattig, Clem Guthro, Sara Amato, Matt Revitt

1) Updates on our questions submitted to Project Team (see agenda)
Clem noted that although we will not be using the WEST validation model for the monographs project, its use for journals has not yet been discussed.

2) Results of III tests so far / meeting with Tom Jacobson
Adding Marc fields to item records – any tag and field valid.   PPL has added a y MARC field group.  Colby, Bowdoin and URSUS already have a y field group.  Sara will check with Bates.
Working with III to explore:
Display in local catalogs and union catalog, including |u.
Export tables for Marc Holdings Records – they will quote price.

3) Summary of discussion with OCLC – 583 clarifications, Shared Print symbol

Regarding name project in subfield f, Sara will bring this back to the project team (Should be short, have Maine in it.)

-Shared Print Symbol most necessary for WorldCat display for ‘foreseable future’

Discussion of subfield l in the condition reviewed statement.  Both Sarah C. and Sharon found items that were stapled.  There is no preferred status for this condition defined.  We will make additions to the preferred status and note these on the website.
Also noted that subfield l is repeatable, to record multiple conditions.

As a reminder, the recommended usage of 583 and 852 for Shared Print can be found in the OCLC Print Archives Disclosure Pilot Final Report – Attachment 3 – Metadata Guidelines  The field definitions vary slightly from the LC definition.

In summary we are talking about adding 3 marc tags to the item records:

583  – one or two instances, ‘committed to retain’ and possibly a ‘condition reviewed’
852 – OCLC shared print symbol in a subfield a
856 – URL explaining project, for display in III.  Might not be necessary if III can display 583 |u

4) Next Steps

Sara will ask Project Team:  MSCS -> Maine SCS? Maine Shared Collection?

Create list of terms used in condition reviewed, subfield l.   Sara will add OCLC prefered language this to MSCS website, along with additions from MSCS, which to date would included “stapled” and “cross-outs in text”.

Shared Print Symbol:
Sara will contact Lizanne/Constance to ask:

  • ILL / ILLIAD implications – with whom can we talk who has done this?
  • Articulation of workflow –  implementation and ongoing.  Best practices and/or institution with whom we can talk
  • Illiad Payment – One time vs. ongoing – contact person
