Reviewed need for extraction of marc records of print monographs and monographic serials for Sustainable Collection Services collection analysis. Will also need to export 001s to submit to Hathi Trust for a price quote. Hathi will also need a list of 001s of print journals/periodicals.
Rick and Andy from SCS encouraged us to be broad in what we export, including not restricting data to items created before 2005, as was done with the OCLC data analysis last year. Bowdoin mentioned that they have many items created recently for older materials as part of a Dewey conversion project, so this inclusiveness made sense to them. Reports can be limited by date if we want to exclude this type of data at a later time. Matthew confirmed with project team that we will include all items regardless of creation date.
The exporting of billed materials was discussed. The public libraries will export materials billed within the last 60 days, as these are often returned. The academic institutions preferred that their billed materials not be exported.
Sara has worked with III to assure that export tables for the 5 systems (Colby, Bates, Bowdoin, Portland Public, Ursus) contain the information that SCS needs in the 945.
A Google Doc contains the proposed limits for extracting the correct data for monographs and journals on the various systems. Sara continues to work with the individual libraries to fine tune these lists, with the intention of exporting data by the end of the month. She will coordinate the use of the larger review files (Bowdoin : #120, Ursus # 308, Bates #65, Colby #109) for this purpose.
