Minerva Users’ Council Meeting

Call to Order Shelly Davis called the meeting to order at 10:07 am.

Welcome and IntroductionShelly welcomed attendees. A signup sheet was circulated for attendees to sign.

Review and Acceptance of Minutes from June 19, 2013 Users’ Council Meeting – The minutes of the June 19, 2013 Users’ Council meeting had been posted on the Minerva website.  Nancy Crowell made a motion to accept the minutes as written and Steve Norman seconded.  A vote was taken and the minutes were approved as written. Old Business

Update on Statewide Library System Planning Committee – James Jackson Sanborn and Shelly Davis are on this committee.  James gave some background information: III has a new server, Sierra, which will replace Millennium.  Since Millennium is getting older and more difficult to work with, this committee has been investigating the options.  James has met with III five times in 2013 as part of this endeavor.  III has new ownership and new management and it was felt that the best option would be to remain with them.  In August, III presented a proposal for a migration and merger to Sierra.  The proposal was not acceptable to Maine InfoNet; thus  members of the planning committee (James, Shelly, Alisia Revitt, Jamie Ritter, Clem Guthro) are working on a counter proposal.  The current contract, which will expire in Dec. 2015, has riders for Minerva, MaineCat, Solar, and Ursus.  The counter proposal leaves the Solar and MaineCat riders the same and establishes new contracts for Minerva, Ursus and Sierra Lite through the Maine Infonet Collaborative 501(c)3.  The next step is for James to share this counter proposal with the Maine InfoNet board.

New Business

RDA Toolkit – Shelly Davis reported that the RDA Toolkit training in Orono on August 8 was well-attended and informative.  The Executive Board is interested in making the Toolkit available to all Minerva libraries and has decided to subsidize approximately $180/library annually for any library that wishes to subscribe.  The pricing will depend on how many libraries participate but the maximum that any library will pay is $75.  Shelly will post a message on MINERVA-L explaining the details and asking which libraries want to subscribe.

Reports

Minerva Executive Board (Shelly Davis) – Shelly reported that the next meeting of the Executive Board will be on November 13.

Maine InfoNet Director (James Jackson Sanborn) – James reported that 1) The vacancy for library systems manager (Venice Bayrd’s position) is at the interview stage  2) Overdrive is extending its Advantage accounts for individual libraries to $1000.  These are for collection building and can be used to mitigate the policy of some publishers of not selling to consortia, and  3) he wanted to thank libraries for dealing with any glitches associated with the recent OPAC upgrade and also share the logic behind the selection of keyword searching as the default.

Maine InfoNet Representative (Judy Frost) – Judy noted that Maine InfoNet will continue to support two summits a year.  The library directors’ meeting will be a standing summit, while the second summit will change topics.  This fall the first summit will be on Nov. 22 at Colby and will feature David Lee King from Topeka.  New members of the Maine InfoNet board are Jennifer Lewis (school rep) and Douglas Macbeth (special library rep).

Minerva Technical (Alisia Revitt) – Alisia showed Minerva statistics. (https://www.maineinfonet.org/minerva/statistics/).  Server space was recently expanded, making it 4 virtual cores instead of 2.  She reported that 41 libraries were represented at the RDA workshop in August.

Finance and Budget (Gail Roy) – Gail’s September 2013 Finance Report was posted to the Minerva website (www.maineinfonet.org/minsite/wp-content/uploads/2013/04/September2013MinervaFinanceReport.pdf)

Committee Reports

Circulation (Cyndi Burne) – Cyndi reported that the Circulation Round Table held meetings in April, June and September in different parts of the state.  They are working on a policy regarding multiple volume sets, particularly DVDs.  When the policy is completed, they will present it to the Cataloging Standards Committee and then to the Minerva Executive Board for approval.

Cataloging (Katherine Morgan) – The Cataloging Standards Committee report was posted to the website (www.maineinfonet.org/minsite/wp-content/uploads/2013/04/minervacataloging09_2013.pdf

Membership (Pam Turner) – Pam reported that applications are being taken from libraries that wish to join Minerva.  The deadline for applying is October 15 at 11:59 pm. The committee has put the application and related information on the Minerva website.  The membership committee is also working on an introductory packet for new library directors of existing Minerva libraries.

Other – Susan Preece announced that the district consultants for the three library districts have been working on a program for voluntary certification for public librarians.  There is more information available on the Maine State Library website (http://www.maine.gov/msl/libs/ce/libcert.shtml) or you may contact your district consultant.
